Overview
These provisioning settings control how data flows between Deltek Vision and Mosaic. Each setting determines whether a specific data type is transferred, how it is mapped, and what values are used.
The On-Premise integration reads directly from your Vision SQL Server (replicated to Mosaic's cloud infrastructure on Azure, or restored from .bak). Because Mosaic has broader table access in On-Premise, more data types and configurable fields are available than in the Cloud integration.
The choices you make here should align with the Standard Operating Procedures (SOP) discussed with your Customer Success Manager (CSM). These settings bring in the data to match your expected workflows.
Before you apply settings: Selecting Transfer or Automatically linked for Projects and Phases will immediately begin syncing all matching records. It is strongly recommended to save as draft first, then apply after your onboarding/SOP call with your CSM and Solutions Engineers.
About "Transfer updates from today forward": Once saved, this option displays the date the setting was last changed — for example, Transfer updates from 8/19/2026 forward. The date is shown for reference only; it is not enforced as a sync cut-off.

Connection
Connection Settings
1. Connection Name (optional)
In Mosaic
An optional name for this connection. It distinguishes this connection from other Deltek Vision connections on the same team, and appears wherever the connection is referenced in Mosaic. Leave it blank to show none.
This is a text input with a 50-character limit — for example, Houston Office.
Members
Members in Mosaic represent the people in your organization — your Vision employees. Each Member must be manually linked in Mosaic to their corresponding Vision Employee record. The settings below control which Member fields are transferred and how they are mapped.
Member Settings
1. Standard Roles

Standard Roles define the set of available Roles that can be assigned to Members across the platform.
Setting Options
- Transfer updates from today forward — Deltek Vision Standard Roles will be transferred to Mosaic after changes in Deltek Vision. Required for syncing Labor Billing Terms. This setting will overwrite Standard Roles on Mosaic.
- Do not transfer (recommended) — Deltek Vision Standard Roles will not be transferred to Mosaic. Select this option if manual management in Mosaic is preferred.

A Member's Default Role determines which Role is automatically assigned when they are added to a Project.

3. Cost Rates

Cost Rates represent a Member's salary or expected cost per hour.
You must Enable Cost Rates for the Organization to transfer Cost Rates.
Setting Options
- Transfer updates from today forward (recommended) — This setting will overwrite Member Default Cost Rates on Mosaic. Deltek Vision Cost Rates will be transferred to Mosaic after changes in Deltek Vision. Note that new rates are not passed down to existing projects. Enable Cost Rates for the Organization to transfer Cost Rates. This is required for transferring Labor Billing Terms if the Billing Type is Rate Times Multiplier.
- Do not transfer — Deltek Vision Cost Rates will not be transferred to Mosaic. Select this option if manual management in Mosaic is preferred.
4. Bill Rates

Controls whether each Member's default Bill Rate is transferred from Vision. Transferred rates overwrite Member Default Bill Rates in Mosaic, and new rates are not passed down to existing projects.

5. Bill Rate Override

Determines whether updated Member Bill Rates from Vision replace the rates already applied on existing Mosaic Projects and Phases, or only apply to Projects created after the update.
Setting Options
- Override all existing rates (recommended) — When Deltek Vision Member Bill Rates are updated, they will override all existing Mosaic Project- and Phase-level Member Bill Rates.
- Do not override — When Deltek Vision Member Bill Rates are updated, only new Projects created after the update will use the new Member Bill Rates in Mosaic.

9. Employee Archive Status

Controls whether the archive status of Vision Employees is applied to their linked Mosaic Members. When enabled, archive statuses are applied to all currently transferred Members and kept up to date with further Vision changes.
Setting Options
- Transfer all + updates — Deltek Vision Employee Archive Statuses will be transferred to Mosaic for all currently transferred Members. Additional updates in Deltek Vision will also be transferred. This setting will overwrite Archive Status on Mosaic.
- Do not transfer (recommended) — Deltek Vision Employee Archive Statuses will not be transferred to Mosaic. Select this option if manual management in Mosaic is preferred.
10. Default Roles Source

Determines which Vision field provides each Member's Default Role. Vision Default Roles will be transferred to Mosaic after changes in Vision.

13. Salaried Member Cost Rates Source

Specify the Vision rates that will be transferred to Mosaic Member Cost Rates for salaried employees. Cost Rates will be transferred after changes in Vision.
Setting Options
- Employee Job Cost Rate (recommended) — Cost Rates from the Vision Employee Job will be used for Mosaic Members.
- Provisional Cost Rate — Cost Rates from the Vision Employee Provisional Cost Rate will be used for Mosaic Members.
14. Member Bill Rates Source
In Mosaic
A text field where you specify the Table Number from the Vision Billing Labor Rate Tables to use for Mosaic Member Bill Rates. Bill Rates will be transferred after changes in Vision. This field is optional.

Portfolios
Portfolio Settings
1. Default for new Projects
In Mosaic
A Portfolio is a folder used to organize multiple Projects. This setting determines which Portfolio newly linked Vision Projects are placed into by default.
In Vision: There is no direct equivalent to Portfolios. This is a Mosaic-only organizational concept.
Setting Options
- No Portfolio (default)
- Import — A built-in Portfolio provided by Mosaic.
- [Your Portfolios] — Any other existing Mosaic Portfolio.
2. Linking Method

Determines how Vision Portfolios are connected to Mosaic. Automatic linking uses the Automatic Linking Filter criteria; Portfolios outside the criteria may still be linked manually. A sub-setting (documented below as Portfolios with Linked Projects) controls whether only Portfolios with linked Projects, or all Portfolios, are linked.
This setting appears when Portfolios are supported by your connection.
Setting Options
- Manually linked — No Portfolios will be automatically linked.
- Automatically linked (recommended) — All Portfolios that meet the criteria specified in the Automatic Linking Filter will be automatically linked. Portfolios that do not meet the criteria may be manually linked.
Sub-setting: Portfolios with Linked Projects
This option is part of the Linking Method question above. It does not appear in the main settings list — open Add/Edit Filters on the Linking Method setting and it renders below the name filter, as an optional question inside that dialog.
In Mosaic
Controls the scope of automatic Portfolio linking — either only Portfolios that contain linked Projects are linked, or every Portfolio is linked regardless of whether it has linked Projects.
This option appears under the Linking Method setting.
Setting Options
- Only Portfolios with Linked Projects (recommended) — Only link Portfolios for linked Projects. Other Portfolios will not be linked.
- All Portfolios — All Portfolios will be linked whether there are linked Projects or not.

Project Settings
1. Linking Method

Determines how Vision Projects are connected to Mosaic.
In Vision: Projects live in the Projects Hub (WBS1).

- Automatically linked (recommended) — All Projects that meet the criteria specified in the Automatic Linking Filter will be automatically linked. Projects that do not meet the criteria may be manually linked.
2. Projects with an Unlinked Portfolio

In Mosaic
Determines what happens to Vision Projects whose Portfolio exists in Vision but is not linked in Mosaic.
This setting appears when Portfolios are supported by your connection.
Setting Options
- Link to Default Portfolio (recommended) — Projects that have an unlinked Portfolio will be associated with the default Portfolio.
- Link to Default Portfolio (one time) — Projects will be linked to the default Portfolio only on initial creation, not on subsequent updates.
- Do not link — Projects that have an unlinked Portfolio will not be linked.
3. Projects without a Portfolio

In Mosaic
Determines what happens to Vision Projects that have no Portfolio at all in Vision.
This setting appears when Portfolios are supported by your connection.
Setting Options
- Link to Default Portfolio (recommended) — Projects without a Portfolio will be associated with the default Portfolio.
- Link to Default Portfolio (one time) — Projects will be linked to the default Portfolio only on initial creation, not on subsequent updates.
- Do not link — Projects that have no Portfolio will not be linked.
4. Linked Project and Phase Titles

Controls whether Mosaic keeps Project and Phase titles in sync with Vision.
Setting Options
- Overwrite (recommended) — Mosaic Project and Phase titles will match the Deltek Vision Project and Phase titles after changes in Deltek Vision. If a linked Mosaic Project or Phase title is edited in Mosaic, it may not match the title of the Deltek Vision Project or Phase until any value of the Project or Phase is changed in Deltek Vision.
- Do not overwrite — If a Mosaic Project or Phase title is edited, it may not match the Deltek Vision Project or Phase title making it hard to uniquely identify matching Projects.
5. Linked Project and Phase Ref #s

In Mosaic
Reference numbers (Ref #s) uniquely identify Projects and Phases. This setting controls whether the Deltek Vision Project and Phase numbers overwrite the Ref #s on linked Mosaic Projects and Phases.
This setting is being rolled out gradually. If you do not see it in your integration settings yet, contact your Customer Success Manager.
Setting Options
- Overwrite (recommended) — Mosaic Project and Phase Ref #s will match the Deltek Vision Project and Phase Ref #s after changes in Deltek Vision. If a linked Mosaic Project or Phase Ref # is edited in Mosaic, it may not match the Ref # of the Deltek Vision Project or Phase until any value of the Project or Phase is changed in Deltek Vision.
- Do not overwrite — If a Mosaic Project or Phase Ref # is edited, it may not match the Deltek Vision Project or Phase Ref # making it hard to uniquely identify matching Projects.
6. Portfolio

Controls whether each Project's Portfolio association is transferred from Vision. When transferring, Projects may be moved between Portfolios in Mosaic to match Vision.
This setting appears when Portfolios are supported by your connection.
Setting Options
- Transfer updates from today forward — This setting will move Projects on Mosaic. Deltek Vision Portfolios will be transferred to Mosaic after changes in Deltek Vision.
- Do not transfer (recommended) — Deltek Vision Portfolios will not be transferred to Mosaic. Projects will be associated to the default Portfolio. Select this option if manual management in Mosaic is preferred.
7. Project and Phase Billable

17. Project Managers

18. Archived Projects
Setting Options
- Automatically archive Dormant Project (recommended) — Archives Mosaic Projects marked as Dormant in Vision.
- Automatically archive Inactive Project (recommended) — Archives Mosaic Projects marked as Inactive in Vision.
19. Project Status Matching
In Mosaic
Maps each Vision project status to a corresponding Mosaic Project status. The mapping is applied any time a project's status changes in Vision.

For each Vision status, select the Mosaic Project status that should be applied. The change is applied when the status is updated in Vision.
How it works
- Each Vision status is matched to a Mosaic status. The list of source statuses comes from your connected tool, so you'll need a tested connection before you can edit.
- Unmapped statuses sync as Active — if a status isn't listed, Mosaic sets the project or phase to Active.
- Click Reset to default at any time to restore Mosaic's recommended mapping for this integration.
- Changes apply on Save (the button reads Done when there are no changes). Updates affect future syncs; already-synced records keep their current status until they next change in Vision.

Previously (before Status Matching)
Before Status Matching, two standalone settings controlled how Vision statuses mapped to Mosaic. They only appear while Status Matching is off.
Dormant Projects Status
Defines the status of Mosaic Projects linked to dormant Vision Projects. Automatically updates and applies changes when the status is updated in Vision.

Determines which Vision fields populate Project / Phase Fees.
Setting Options
- Direct Labor Fee (recommended) — Uses the value from the Direct Labor field in the Projects Hub > Contract Management > Compensation tab.
- Direct Labor Fee + Expense Fee — Calculates the total of the Direct Labor and Direct Expenses fields in the Projects Hub > Contract Management > Compensation tab.
- Direct Labor Fee + Expense Fee + Consultant Fee — Calculates the total of the Direct Labor, Direct Expenses, and Direct Consultants fields in the Projects Hub > Contract Management > Compensation
- Labor Budgets: Budgeted Billing Amount for Labor Code — Pulls the budgeted billing amount for labor from the Labor Tab of the Budget Form.
- Labor Budgets: Budgeted Cost Amount for Labor Code — Pulls the budgeted cost amount for labor from the Labor Tab of the Budget Form.
On-Premise has direct table access, so all Fee Source options are available without needing Stored Procedures.
21. Fallback Project and Phase Fee Source

Define the Mosaic Project and Phase Fee Source when the primary Fee source is empty in Vision.

- Contract Details (recommended) — Mosaic Project and Phase Fee will equal Vision Project Contract Details. This setting only works if the primary fee source is set to Direct Labor Fee + Expense Fee + Consultant Fee.
- $0 Fee — Mosaic Project and Phase Fees will equal $0
22. Project, Phase, and Time Entry Overhead

Controls whether the Vision firm-wide budgeted overhead rate is applied to transferred Project and Phase Fees and Time Entry Rates.

- Apply to Projects, Phases, and Time Entries — Vision firm-wide budgeted overhead rate will be applied to transferred Project and Phase Fees, and Time Entry Rates after changes in Vision.
- Do Not Apply (recommended) — Transferred Projects, Phases, and Time Entries will not have an overhead rate applied.

In Mosaic
Mosaic Project Rate Multiplier Source will equal the selected Vision source. The Custom Field option is configured by Mosaic support.
Setting Options

Phases
Phase Settings
1. Linking Method
- Linking Method
In Vision: Phases correspond to WBS2 entries; sub-phases are WBS3.
Setting Options
- Manually linked — No Phases will be automatically linked.
- Automatically linked (recommended) — All Phases that meet the criteria specified in the Automatic Linking Filter will be automatically linked. Phases that do not meet the criteria may be manually linked.
2. Non-Billable Fee as Budget

Setting Options
- Transfer updates from today forward (recommended) — Deltek Vision Phase fees will be transferred to Mosaic Phase budgets after changes in Deltek Vision. This setting will overwrite budgets on Mosaic.
- Do not transfer — Deltek Vision Phase fees will not be transferred to Mosaic Phase budgets. Select this option if manual management in Mosaic is preferred.
3. Order

Setting Options
- Phase Order (recommended) — Orders Phases using the explicit Phase order from Deltek Vision after changes in Deltek Vision. This setting will overwrite Phase order on Mosaic.
- Phase Ref# (Task Order) — Orders Phases using the Phase's reference number from smallest to largest from Deltek Vision after changes in Deltek Vision. This setting will overwrite Phase order on Mosaic.
- Phase Name — Orders Phases alphabetically by the Phase's name from Deltek Vision after changes in Deltek Vision. This setting will overwrite Phase order on Mosaic.
- Set on Mosaic — Deltek Vision Phase order will not be transferred to Mosaic. Select this option if manual management in Mosaic is preferred.
4. Archived Phases
Automatically updates and applies changes when the status is updated in Vision.
Setting Options
- Automatically archive Dormant Phase (recommended) — Archives Mosaic Phases marked as Dormant in Vision.
- Automatically archive Inactive Phase (recommended) — Archives Mosaic Phases marked as Inactive in Vision.
5. Phase Status Matching
In Mosaic
Maps each Vision phase status to a corresponding Mosaic Phase status. The mapping is applied any time a phase's status changes in Vision.
Default Mapping

For each Vision status, select the Mosaic Phase status that should be applied. The change is applied when the status is updated in Vision.
How it works
- Each Vision status is matched to a Mosaic status. The list of source statuses comes from your connected tool, so you'll need a tested connection before you can edit.
- Unmapped statuses sync as Active — if a status isn't listed, Mosaic sets the project or phase to Active.
- Click Reset to default at any time to restore Mosaic's recommended mapping for this integration.
- Changes apply on Save (the button reads Done when there are no changes). Updates affect future syncs; already-synced records keep their current status until they next change in Vision.

Previously (before Status Matching)
Before Status Matching, two standalone settings controlled how Vision statuses mapped to Mosaic. They only appear while Status Matching is off.
Dormant Phases Status
Defines the status of Mosaic Phases linked to dormant Vision Phases. Automatically updates and applies changes when the status is updated in Vision.

Work Categories
Work Category Settings
1. Linking Method

Vision Labor Codes can be synced as Mosaic Work Categories. This setting determines whether Work Categories are linked automatically or manually.
Setting Options
- Manually linked — No Work Categories will be automatically linked.
- Automatically linked (recommended) — All Work Categories that meet the specified criteria will be automatically linked. Work Categories that do not meet the criteria may be manually linked.
Time Entries
Time Entry Settings
1. Transfer

Time Entries provide the actuals used in budget tracking, utilization, and project health metrics.
On-Premise reads Time Entries directly from the
LDtable — no Stored Procedure is required.
Setting Options
- Transfer one-way from Deltek Vision to Mosaic (recommended) — Deltek Vision Time Entries will be transferred one-way to Mosaic after changes in Deltek Vision. Mosaic Time Entries will not be transferred to Deltek Vision.
- Do not transfer — Time Entries will not be transferred to or from Deltek Vision. Select this option if manual management in Mosaic is preferred.
2. Time

In Mosaic
Determines which Vision time entries are brought into Mosaic. Combined Time transfers both unapproved and approved time entries, while Posted Time Only limits the transfer to approved time entries.
This option appears under the Transfer setting.
Setting Options
- Combined Time (Posted and Unposted time) (recommended) — Unapproved and approved Vision time entries will be transferred. Mosaic recommends using Unposted Time as Spent Time until all time is posted.
- Posted Time Only — Only approved Vision time entries will be transferred.
3. Billable

In Vision: Billable status is derived from
LD.ChargeType.

- Transfer updates from today forward (recommended) — Deltek Vision Time Entry billable statuses will be transferred to Mosaic after changes in Deltek Vision. This setting will overwrite billable statuses on Mosaic.
- Transfer one time at first link — Deltek Vision Time Entry billable statuses will only be transferred to Mosaic when the Deltek Vision Time Entry is first linked.
- Do not transfer — Deltek Vision Time Entry billable statuses will not be transferred to Mosaic. Select this option if manual management in Mosaic is preferred.
4. Hourly Rates

Controls whether Time Entry hourly rates are transferred from Vision to Mosaic.
Setting Options
- Transfer updates from today forward (recommended) — Deltek Vision Time Entry hourly rates will be transferred to Mosaic after changes in Deltek Vision. This setting will overwrite hourly rates on Mosaic.
- Transfer one time at first link — Deltek Vision Time Entry hourly rates will only be transferred to Mosaic when the Deltek Vision Time Entry is first linked.
- Do not transfer — Deltek Vision Time Entry hourly rates will not be transferred to Mosaic. Select this option if manual management in Mosaic is preferred.
Known display issue: in the settings modal, the Do not transfer option currently shows the Transfer one time at first link description. The option behaves as its label says — no hourly rates are transferred.
5. Zero Bill Rate Amount

Defines the Mosaic Time Entry Bill Rate Amount for Vision Time Entries with a Bill Rate Amount of 0.
Setting Options
- Do not change zero billing amount (recommended)
- Calculate amount using project bill rate and hours
Work Plans
Work Plan Settings (On-Premise only)

Work Plans represent planned resource assignments in Vision. They sync as Work Plans in Mosaic.
In Vision: Work Plans come fromRPAssignmentandRPPlannedLabortables in the Resource Planning module.
Work Plans are available in On-Premise only.

- Transfer updates from today forward — Deltek Vision Work Plans will be transferred to Mosaic after changes in Deltek Vision. This setting will overwrite Work Plans on Mosaic.
- Transfer one time at first link — Deltek Vision Work Plans will only be transferred to Mosaic when the Deltek Vision Project is first linked.
- Do not transfer (recommended) — Deltek Vision Work Plans will not be transferred to Mosaic. Select this option if manual management in Mosaic is preferred.

Rate Settings
1. Rate Groups

- Transfer updates from today forward — Deltek Vision Rate Groups will be transferred to Mosaic after changes in Deltek Vision. This setting will overwrite Rate Groups on Mosaic.
- Do not transfer (recommended) — Deltek Vision Rate Groups will not be transferred to Mosaic. Select this option if manual management in Mosaic is preferred.
2. Preferred Companies for Cost Rates
In Mosaic
A text field for the Vision company IDs to transfer cost rates for employees in multiple companies. If left blank, rates will be taken from the Vision company with available rate information. This field is optional.
Setting Options
- Free-text input — Type the Company IDs separated by commas.
