Duplicate Entries

Our system automatically checks for duplicates to ensure your data stays clean and consistent. When a potential duplicate is found, we follow specific steps for each type of record.


Portfolio

How duplicates are identified:

  • Matches on Name

What happens if a duplicate is found:

  • The system confirms the match with your connected Integration Service, but it won’t make any changes to the existing portfolio.

Project

How duplicates are identified:

  • Matches on Board, Project Title, and Project Number

What happens if a duplicate is found:

  • The system updates the existing project with any new details from the incoming record.

Phase

How duplicates are identified:

  • Matches on Project, Parent, Phase Name, and Phase Number

What happens if a duplicate is found:

  • If the phase is archived, it will be automatically unarchived.
  • The system will confirm the match with your Integration Service but won’t change any other details.

Employee

How duplicates are identified:

  • Matches on Email

What happens if a duplicate is found:

  • If the employee already has an account but isn’t yet part of your team, the system will add them to your team automatically.

Work Plan

How duplicates are identified:

  • Matches on Project, Phase, Standard Work Category, Employee, Project Membership, Start Date, End Date, Daily Hours, and Total Hours

What happens if a duplicate is found:

  • The system confirms the match with your Integration Service but doesn’t make any changes to the work plan.

Time Entry

How duplicates are identified:

  • Matches on Description, Date, Hours, Employee, Project, Phase, and Standard Work Category

What happens if a duplicate is found:

  • If an override rate is included, it will be applied to the existing time entry.
  • The system will confirm the match with your Integration Service but won’t change any other details.
