QuickBooks Time (QBT) and Quickbooks Online (QBO) belong to the same company, but are separate applications, therefore they have different databases and does not directly integrate into Mosaic.

Q: What is the difference between QuickBooks Time & QuickBooks Online?

  • QuickBooks Online: Cloud based account software - lots of our users use QBO for payroll and reporting
  • QuickBooks Time (formerly TSheets): Standalone time - tracking and workforce management tool (often used for approving time, then that time gets sent to QBO)

Q: Does Mosaic integrate with QuickBooks Time (QBT)?

Mosaic does not directly integrate with QuickBooks Time, however there is a process to import data from QuickBooks Time to QuickBooks Online: QuickBooks Time Documentation


Here’s a quick set of step-by-step instructions to send time from QuickBooks Time to QuickBooks Online:

  1. Set Up the Integration
  • In QuickBooks Online, go to “Apps” and search for “QuickBooks Time.”
  • Select “Get app now” and follow the prompts to connect your accounts. This will link QuickBooks Time with your QuickBooks Online data.
  1. Configure Time Tracking Preferences
  • In QuickBooks Online, go to “Settings,” then “Account and settings,” then “Time.”
  • Set your start of the workweek, what information appears on timesheets, and other preferences as needed.
  1. Prepare for Sync
  • In QuickBooks Online, click on “Get paid & pay,” then “Time,” then “Launch QuickBooks Time.”
  • In QuickBooks Time, use the “QuickBooks” menu and then “Preferences” to select which items you want to sync, such as customers, service items, and vendors.
  1. Invite Team Members and Track Time
  • Add employees to QuickBooks Online—these will sync to QuickBooks Time automatically.
  • Invite your team so they can begin tracking their hours.
  1. Send Time to QuickBooks Online
  • Once time is tracked in QuickBooks Time and is approved, go to the “QuickBooks” menu in QuickBooks Time.
  • Select “Export all approved time.”
  • When prompted, proceed with exporting all hours.
  • The time entries will be sent and can be viewed in QuickBooks Online under “Get paid & pay,” then “Time,” and “Time Entries”.

Tip: Once set up, most changes and additions automatically sync between both platforms every minute. You can also manually trigger a sync if needed.

This workflow allows you to track time in QuickBooks Time and transfer it for payroll, invoicing, and reporting in QuickBooks Online.
