Overview
These provisioning settings control how data flows between Deltek Vision and Mosaic. Each setting determines whether a specific data type is transferred, how it is mapped, and what values are used.
The choices you make here should align with the Standard Operating Procedures (SOP) discussed with your Customer Success Manager (CSM). These settings bring in the data to match your expected workflows.
Settings are organized by data type. Each section covers the Cloud-specific configuration options, setting values, and numbering.
Before you apply settings: Selecting Transfer or Automatically linked for Projects and Phases will immediately begin syncing all matching records. It is strongly recommended to save as draft first, then apply after your onboarding/SOP call with your CSM and Solutions Engineers.
About "Transfer updates from today forward": Once saved, this option displays the date the setting was last changed — for example, Transfer updates from 8/19/2026 forward. The date is shown for reference only; it is not enforced as a sync cut-off.

Connection
Connection Settings
1. Connection Credentials
In Mosaic
Connection Credentials allow Mosaic to authenticate and connect to your Deltek Vision Cloud environment. Enter the fields below to establish the connection.
In Vision: A dedicated Vision API user account must be created with read access to the relevant tables. Your Vision administrator provides the username, password, and database name.
Fields
| Field | Description |
|---|---|
| Server URL | The base URL of your Vision Cloud environment. |
| Username | The Vision API user's username. This should be a dedicated integration user, not a personal login. |
| Password | The password for the API user account. |
| Database | The name of the Vision database to connect to. |
To Get Started
- Ensure your Vision administrator has created a dedicated API user with the required permissions.
- Review the full setup instructions in the Vision Cloud Integration Setup guide.
After entering your credentials, click Test Connection to verify that Mosaic can authenticate and reach your Vision environment. If the test fails, refer to the Vision Cloud Troubleshooting guide.
Credentials may expire or rotate over time. Periodically return to this section to update your credentials so syncing is not interrupted.
2. API Configuration
In Mosaic
The Stored Procedures modal displays the procedures installed in your Vision Cloud environment. Stored Procedures are custom database queries that enable Mosaic to access data not available through the standard Vision API — such as unposted Time Entries, Labor Budgets, and project-level billing details.
Stored Procedures
| Stored Procedure | What It Enables |
|---|---|
| Time Entries (Required) | Transfers both unposted and posted Time Entries. Without this, only posted time is available. |
| Member Rates | Transfers per-Member rate table entries and project-level overrides. |
| Role and Work Category Rates | Transfers category and Labor Code Rate Tables for Role and Work Category Rates. |
| Roles | Transfers Labor Category descriptions as Role definitions in Mosaic. |
| Labor Budget Table | Enables the "Labor Budgets" fee source options for Projects and Phases. |
| Profit Centers | Transfers organization data for use in Phase Profit Center names and reporting. |
| Fee Billing Terms | Enables the "Fee Billing Terms" fee source option for Projects and Phases. |
The Time Entries Stored Procedure is required. If it is not installed, you must resolve this before submitting your settings.
To Get Started
- Download the Stored Procedures from the link provided in the modal.
- Follow the installation instructions in the Adding Stored Procedures to Vision guide.
- After installation, return to this section in Mosaic — the table will automatically detect which Stored Procedures are installed.
This section only applies to Cloud deployments. On-Premise integrations access data directly through the replica database and do not require Stored Procedures.
3. Connection Name (optional)
In Mosaic
An optional name for this connection. It distinguishes this connection from other Deltek Vision connections on the same team, and appears wherever the connection is referenced in Mosaic. Leave it blank to show none.
This is a text input with a 50-character limit — for example, Houston Office.
Members
Members in Mosaic represent the people in your organization — your Vision employees. Each Member must be manually linked in Mosaic to their corresponding Vision Employee record. The settings below control which Member fields are transferred and how they are mapped.
Member Settings
1. Standard Roles
- Standard Roles
In Mosaic
Standard Roles define the set of available Roles that can be assigned to Members across the platform. These are used for resource planning, filtering, and rate calculations.
In Vision: Standard Roles correspond to Labor Categories found in the Labor Category Table — sometimes referred to as Employee Titles.
Transferring Standard Roles requires syncing Labor Billing Terms. Upload the required Stored Procedures.
Setting Options
- Transfer updates from today forward — Deltek Vision Standard Roles will be transferred to Mosaic after changes in Deltek Vision. Required for syncing Labor Billing Terms. Upload the required stored procedures. See the Connection section for details. This setting will overwrite Standard Roles on Mosaic.
- Do not transfer (recommended) — Deltek Vision Standard Roles will not be transferred to Mosaic. Select this option if manual management in Mosaic is preferred.
2. Default Roles
- Default Roles
In Mosaic
A Member's Default Role determines which Role is automatically assigned when they are added to a Project. This drives resource planning defaults and rate assignments.
In Vision: The Default Role maps to the Employee's default Labor Category assignment on their Employee record.
Setting Options
- Transfer updates from today forward — Deltek Vision Member Default Org Roles will be transferred to Mosaic after changes in Deltek Vision. This is required for syncing Labor Billing Terms. Upload the required stored procedures. See the Connection section for details. This setting will overwrite Member Default Org Roles on Mosaic.
- Transfer one time at first link — Deltek Vision Member Org Roles will only be transferred to Mosaic when the Deltek Vision Member is first linked.
- Do not transfer (recommended) — Deltek Vision Member Org Roles will not be transferred to Mosaic. Select this option if manual management in Mosaic is preferred.

- Cost Rates
In Mosaic
Cost Rates represent a Member's salary or expected cost per hour. They appear on Member profiles and are used for financial calculations including profit margins, project health metrics, and budget forecasting.
You must Enable Cost Rates for the Organization to transfer Cost Rates. This setting is controlled by the Cost Rates feature flag — contact your Mosaic team if this option is not visible.
Setting Options
- Transfer updates from today forward (recommended) — This setting will overwrite Member Default Cost Rates on Mosaic. Deltek Vision Cost Rates will be transferred to Mosaic after changes in Deltek Vision. Note that new rates are not passed down to existing projects. See the Connection section for details. This setting will overwrite Member Default Bill Rates on Mosaic. Note that new rates are not passed down to existing projects.
